Overview

The CPA is seeking to appoint a Communications and Office Administrator to work within our Strategy and Communications team.

This position requires a motivated, hard-working and organised individual who is committed to the aims of the Commonwealth Parliamentary Association.

Reporting to the Strategy and Governance Officer, this is a dynamic and multi-faceted role ideal for a proactive and organised individual with a strong commitment to the CPA’s mission.

Working closely with the CPA Secretary-General and colleagues within the Strategy and Communications team, the post holder supports both internal and external communications, assists with governance and event planning – namely the biannual CPA Executive Committee meetings and the Commonwealth Parliamentary Conference (CPC) - and plays a key role in maintaining the smooth functioning of the CPA Headquarters Secretariat and its administration.

As we are a small CPA Secretariat, the role has broad involvement and commitments across the organisation, often working alongside Communications colleagues and those in the CPA Secretariat’s Programmes department.

We operate hybrid working within the CPA Secretariat, and there is an expectation that the role holder would be in the office for an average of two days per week.

Term: Permanent role.

Salary: SP 1: £30,687 per annum (inclusive of London Weighting Allowance)

Purpose of role:

This is a dynamic and multi-faceted role within the Strategy and Communications team, ideal for a proactive and organised individual with a strong commitment to the CPA’s mission.

Working closely with the CPA Secretary-General and colleagues within the Strategy and Communications team, the role holder supports both internal and external communications, assists with governance and event planning – namely the biannual CPA Executive Committee meetings and the Commonwealth Parliamentary Conference (CPC) - and plays a key role in maintaining the smooth functioning of the CPA Secretariat and its administration.

Primary Duties and Accountabilities

CPA Secretary-General and Executive Office Support

  • Provide a professional interface between the CPA Secretary-General and an extensive range of internal and external contacts and deal with enquiries and issues that arise in the CPA Secretary-General’s office on behalf of the Secretary-General.
  • Draft correspondence and briefing materials for the CPA Secretary-General and other senior staff, managing communications with discretion and efficiency.
  • Support governance logistics, including the coordination of CPA Executive Committee meetings and the Commonwealth Parliamentary Conference (CPC).
  • Provide day-to-day administrative support: meeting scheduling, travel booking, paper preparation and office resource coordination.
  • Organise and host visiting delegations and VIP guests.
  • Undertake special projects and research assignments on behalf of the Strategy and Communications team.
  • Track and process the CPA Secretary-General’s expenses and timesheet.
  • Support the delivery of internal events, such as CPA Staff Away Days and training sessions.


Communications

  • Assist in the creation and editing of multimedia content (videos, podcasts, digital publications) using Adobe Creative Suite, particularly Premiere Pro, Audition and InDesign.
  • Support the editorial process for The Parliamentarian, including contributor outreach and content proofing.
  • Produce internal and external communications, including blogs, social media copy and newsletters, showcasing CPA activities and impact.
  • Support the Communications Manager and Communications Officer in keeping the CPA’s CRM system up-to-date.
  • Support the Editor of The Parliamentarian and Communications Manager in managing the CPA’s archives and contribute to research projects around these.
  • Maintain CPA's communications assets, including photo libraries, media databases and promotional materials.


Human Resources

  • Support the Head of HR in maintaining the HR database (Breathe HR) and managing staff files in line with data protection standards, always ensuring utmost confidentiality.
  • Assist with recruitment, onboarding, interview logistics, and GDPR compliance tracking.
  • Help keep the CPA Staff Handbook and HR policies up to date.
  • Act as a point of contact for HR-related queries and liaise with external HR service providers when needed.
  • Coordinate administrative aspects of the staff lifecycle (e.g. joiners/leavers) and liaise with the Finance Team accordingly.

Office Administration

  • Undertake tasks contributing to the smooth running of the CPA Secretariat Headquarters, including ordering office supplies and maintaining the CPA gifts supply, filing and archiving materials and supporting the logistics of any future office move.

Any other duties commensurate with the role.

 

Skills & Experience

Essential

  • Two plus years related office experience, with proven administration and communications skills.

  • Experience working in the planning and delivery of programmes and events.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills, with experience supporting senior staff with tact and diplomacy in a fast-paced environment.

  • Highly organised, with excellent attention to detail and time management.

  • Able to manage multiple priorities and deadlines calmly and efficiently.

  • Confident working both independently and collaboratively across teams.

  • Experience of working with people from different geographical regions, backgrounds or cultures.

  • Strong IT skills, including Microsoft Office; familiarity with CRM platforms preferred.

  • Willingness and ability to travel (occasionally) and, therefore, work unusual hours from time to time.

Desirable

  • Experience in parliamentary, governmental, or international institutional settings.
  • Familiarity with Adobe Creative Suite, particularly InDesign, Premiere Pro, and Audition.
  • Awareness of Commonwealth values and parliamentary strengthening work.


Qualifications

  • Minimum of 5 GCSEs (Grades A–C or 9-4), including English and Maths or equivalent.
